100th Anniversary Celebration!

100th Anniversary Celebration/Time Capsule


The council celebrated its 100th anniversary at Camp T. Brady Saunders on July 12th with the opening of a 25 year time capsule, picnic style dinner and evening campfire program.  In addition to all of the campers attending both camps that week, the event drew former Scouts, leaders and camp staff members who returned with their families.  Former camp director and council program director Bill Givler III, chaired the event. Time capsule contents included old Troop neckerchiefs, unit rosters, letters, patches and even cassette tapes (what are those?).  What are we doing with these items?  Items not picked up by their owners at the event will be on display and available for pick up at the council office starting August 1st.

A new time capsule is being prepared for the next 25 years.  Small items can be brought to the council service center or Council Encampment for a new time capsule to be buried at the end of the year.  Items from the recent time capsule will be welcomed back for the next generation.  For more information contact Todd Martin at todd.martin@scouting.org

Join Scouting Night

Why Join Scouting Night is the Most Important Thing in Scouting.  Period.

The Courier is generally not the place where you will read bold statements.  Nonetheless, this statement must be made: Join Scouting Night, our annual campaign to add new families, new volunteers and new Scouts to packs, troops, and crews in the Heart of Virginia Council, is the most important thing that we will do this year.  It is more important than offering amazing experiences to Scouts at Day Camps and Summer Resident Camp, more important than our mountaintop training experiences like Wood Badge, and even more important than our 100th Anniversary.  Why?  Because without Join Scouting Night, none of those other things would exist.

Imagine if we stopped this annual effort to recruit.  Only one side effect needs to be mentioned: no more new adult volunteers.  Within 5 years, there would be no more Cub Scouting.  Since 90% of our Boy Scouts and nearly all of our Boy Scout Volunteers come from the Cub ranks, an expiration date would get stamped on Boy Scouting, too…Soon followed by Venturing.

It’s my opinion that Join Scouting Night 2013 is not just an opportunity for us to tell the amazing story of Scouting to the community, or a chance for a family to enroll their child.  No, it’s a moment in our organization’s history where we can choose to rise to new heights and new vistas or fall to doubt and apathy.  I’m choosing to rise.  I’d like you to join me.

Our goal is to recruit 875 new adult volunteers this Fall.  With them, 3,500 Scouts.  We can do it, with your help.  Here are three ways that you can get involved in Join Scouting Night:

  1. Help with your unit’s marketing effort.  This summer, every pack, troop, and crew was asked to complete a Unit Marketing Plan.  This plan should outline some key ways that your unit is going to help recruit new Scout Families.  Volunteer to make a piece of that plan happen.
  2. Attend your District’s Join Scouting Night Kick-off/Training Event.  Most of these are happening in mid-to-late August.  Show up, hear about the plan, and get involved if you can.
  3. Tell others.  You know people – probably lots of people who have Scout-age kids.  Once you know your unit’s Join Scouting Night date, invite non-Scout families to attend and join this great program.  Word of mouth means so much more than a flyer at school.  Tell people through your Facebook page or other social media you use.  Get the word to the people.

Here are 4 Recruiting Tools that are available to us this year for Join Scouting Night:

  1. Hovc.org/join is our new online registration portal.  Parents can go online, register their child for Scouting and pay the registration fees.  Scout Service Center Staff will then get those parents connected to the unit leader of the group they want to join.  Join Scouting Nights will remain our primary entry point, but for parents who cannot attend the JSN at their school, hovc.org/join will be there.
  2. Every New Scout who joins between August 1 and September 31, 2013 will receive a “Prepared. For Life” rechargeable dual-LED flashlight.  It’s bright, pocket-sized, never needs batteries, and perfect for a new Scout’s first camp-out.
  3. September is “Scouting Month” at Bass Pro Shops nationwide.  The Winding Creek Bass Pro Shop near Ashland will allow us to have a recruiting booth every Thursday during the month of September.  We will most likely have a weekly prize drawing and other in-store activities for new Scout families.
  4. Saturday, September 28th will be Scout Day at the State Fair of Virginia.  All Scouts in uniform will get in at a discounted price, and the State Fair is allowing us to have a recruiting booth for new Scouts and alumni.

Council Encampment

All members of our BSA family are invited to participate in a council-wide campout to celebrate the 100th anniversary of the Heart of Virginia Council.  There will be activities specifically for Cub Scouts, Boy Scouts and Venturers and a mid-way for visitors and alumni.  We will camp in the same location as the 2007 encampment.  Online registration is live now!

Leader Training

Don’t Lose Sight of Training This Summer

The Heart of Virginia Council had the 2nd highest percentage of trained leaders in the country this past year and it was due to the commitment of everyone to make it a top priority.  As we finalize our plans for a great program year, please remember to keep training as a “top priority.” 

Each troop has new Scouts moving up from Webelos and their parents need training to become registered leaders.  Additionally, this fall we will recruit a very large number of new Cub Scouts and the new leaders we recruit will all have to go through training as well.  This means keeping up to date on scheduled training dates for your district as well as other district’s dates to provide your leaders a variety of opportunities to meet their training requirements.

Service Project On the James

 Service project on the James- August 17th


The Heart of Virginia Council and the James River Association are teaming up to rid the James River of tires.  Troops are encouraged to participate and take a short stretch between Scottsville and the Benjamin Harrison Bridge to pull tires.   Bridgestone Tires will provide trucks at designated collection points.  This will be a great way for your Scouts to get to know the James River better and help keep it clean.  To learn more go to:  http://www.doubleknot.com/event/1366215

Any Scout or Scout leader in FULL CLASS A UNIFORMS will be admitted to the fair FREE of charge.  All units must pre-register.   After or prior to participating in the 15 minute parade loop, units can enjoy the fair!  Please bring your Unit and US flags. Registered units will come through Gate 3 and be at the line-up area (Gate 5) by 6:30PM.  What a great way to meet one of your summer activity requirements!

Richmond Area Sporting Clays Classic

Mark October 10th, 2013 on your Calendar!

It is the 11th annual Richmond Area Sporting Clays Classic.  This is a first class event that is fun for both experienced shooters and novices.  Corporate sponsors use the event to entertain clients and reward business associates.  Carefully laid out around the beautiful Cub Adventure Camp in Maidens, Virginia, the course consists of multiple stations with unique presentations.

Included in the event is a delicious hot breakfast buffett, a Wild Game Feast Luncheon and a post-shoot reception.

Albright Scout Reservation

Albright Scout Reservation is a great site for weekend camping.  Situated on 568 acres on Lake Chesdin, it is close and offers three types of camping areas all at NO COST!  It has six traditional campsites for car camping each with a shelter, table and latrine nearby.  Three sites near the lake offer more of a wilderness experience.  There is also a "leave no trace" area and a short backpack trail for a shakedown experience. 

In addition there are two picnic pavilions and a chapel area for unit activities!  Sites and facilities are free to Heart of Virginia Council units and reservations can be made online at http://hovc.org/camps/albright/.

Join Scouting

While the Fall may seem like a long time away it is really right around the corner and our District is working to assure that all of our Cub Packs have a great Join Scouting experience this year that will bring not only new boys into the program but new families to help make your programs even stronger.  Our Join Scouting Team will be in touch with each Pack soon to identify the Pack’s Join Scouting Coordinator so please be working to identify who this is.  If you already know, please send this info to: joinscouting@arrohattoc.org

Cub Scout Day Camp

Adult Leadership Training Opportunities

Every Scout deserves a trained leader! BALOO (Basic Adult Leader Outdoor Orientation) will be held August 24th from 8:30am – 5:00pm at Woodlake United Methodist Church. BALOO is a one day training course that prepares Pack Leaders and Parents to successfully plan and conduct Pack outdoor activities, particularly Pack camping.   Scoutmaster Indoor Leadership Training will be held on September 14th, from 8:00am – 4:30pm at Hopewell UMC.  Please be sure to check the Heart of Virginia calendar at www.hovc.org to find out more about these great training programs!

One of the goals of the District is to assure that we are providing Scouting to as many youth in our area as possible and we are always looking for new leads to help us grow Scouting.  If you attend or know of any local organizations (faith, civic, community outreach, etc) that might be interested in sponsoring a Scouting unit, let us know.  Please contact Matt Malone at matt.malone@scouting.org or 804-204-2618 with any suggestions and we will be happy to pursue them.

JOIN SCOUTING NIGHT TRAINING

The District Training for our Cub Scout Fall recruitment will be Saturday, August 17th, at Fairfield Presbyterian Church from 9AM-10AM. This will be the absolute best opportunity for Units to receive promotional materials for this fall and to find out which dates the Join Scouting Nights will be at each Elementary School! The District Membership Committee is in the process of following up with every Cub Scout Pack to make sure they are represented at this training. Every single Pack MUST have representation at this training (it does not have to be the Cubmaster, just a representative from the Unit). Units who do not send a representative will be on the BAD LIST. FALL POPCORN SALE

It is not too late to sign up for this fall’s Popcorn Sale! Over twenty Units from our District are already signed up but that’s not even half of our Units, folks… We need to get this number as close to forty as possible. There is no better way to earn money for your Unit than by participating in the Popcorn Sale! If you have not signed up yet please contact Ray Alexander at BattlefieldPopC@aol.com. Once your Unit is signed up you will start to receive emails from our District and the Council about when the upcoming trainings and pickups will be for our Popcorn Sale. There is also a new bonus commission structure and new prizes this year so please, sign up today!

Roundtable

Roundtable is the first Wednesday of every month (except July) at 7:30PM. There is no better place for your Unit Leaders to get up to speed on everything that is going on in the Council. Please make sure that there is at least one representative from your Unit at each and every Roundtable. Units who are not represented at Roundtable will be on the BAD LIST. As previously mentioned, you do not want to be on the BAD LIST… Starting in September, Roundtable will change locations. The new location will be in Mechanicsville but is still being finalized. Everyone will know the new location well enough in advance.

It’s Popcorn Time

It’s that time again when all units need to be planning their Trail End Popcorn campaign. The District Popcorn team has been contacting you for more information and the Cardinal Popcorn Explosion will be August 27, 2013, located at Dominion Innsbrook from 6-8pm. School Night Planning for September

The Cardinal District Membership team and our Join Scouting Chairman, Joyce Waters joyce.waters@gmail.com, will be working hard with the assistance of our District Director and District Executive in setting up and securing support as well as dates for all school nights across the district this coming September.  Joyce will be in contact with each Cub Scout pack to gather necessary information. If we all work together we know that we can have one of the best recruitment falls that we have seen in many years.  Make plans to attend the School Night orientation set for Monday August 19th, at the United Methodist Conference Center.

Program Planning

If your Scout unit was not represented at the Super Saturday event where program planning kits were distributed you can now stop by the council service center and pick up your unit's packet with the new council calendar included to assist you with your unit program planning. Cardinal Back To School Night

Join us August 19th for school night training at 7:00PM at The UMC Conference Center at 10330 Staples Mill Road.   We will be conducting this training just like a school night, so come prepared to have fun and to experience school night the way your new Cub Scouts will.  (So come knowing what "grade" you are in!)  The training will be a mock school night sign up, and then we will answer any questions you have about school night. This is also a great opportunity to learn what other packs are doing to be successful in recruiting and share your ideas with others.  It is recommended that each pack have two leaders in attendance.

ROUNDTABLES

Roundtables are a form of commissioner service and supplemental training for volunteers at the unit level.  It serves as a source of information on events and training and an opportunity to share experiences and enjoy fellowship with other unit leaders.  Roundtables provide unit leaders with skills, techniques, and program ideas to enhance the quality of their meetings.  Please make an effort to attend.

Corporate Grants Help Scouting

Friends of Scouting is likely the best way to describe our fundraising process that we can think of.  When gifts come in from volunteers, parents, and local businesses, it really does feel like support from friends.  This year’s goal of $160,000 has been challenging to say the least.  We have been hung at 90% of completion for weeks, but some initiative and innovation have begun to “move the needle” again.

Many corporations have programs to support nonprofits that their employees donate their time and experience to.  By filing some simple paperwork, those volunteers who document a mere 25-50 hours a year (and we know Scouters donate much more) can be rewarded between $250 to $500 to the nonprofit where they serve.  When combined with the personal donations made annually, the effects are compounded and powerful!

Information about such grants is available through your employers Human Resource department, and an email should have been forwarded from your unit’s leadership to every family.  The information should also be posted on our district website and Facebook page.  And of course the District Executive can help you determine if your employer participates.

Volunteer grants add another layer of service to our local youth, the positive effects of which ripple out to all parts of the district.  Thank you very much for your support!

Unit Planning

Take the time this summer to gather your unit leadership, committee and parents together to form a good plan for the upcoming Scouting year.  This could be in the relaxed atmosphere of an outdoor barbeque or pool party (although you will actually need to get some work accomplished), or in the more formal setting of your committee meeting.  Planning materials were available at June’s Super Saturday, and if your unit doesn’t have them, please request them from your SDE, or from the Office Manager at the Council Service Center. 

Popcorn

One of the most important components of your unit’s annual plan is how it will fund all those exciting activities!  The Heart of Virginia Council has worked with Trails End Popcorn for many years now to create a seamless fundraising option to bring in much needed revenue to your Scouting unit.  By far, this is the best option for units to drum up support for their local Scouting endeavors.

We want every unit to have an exciting and well-funded program, and we sincerely believe Popcorn is the key.  There will be our district training opportunity at 7:00pm on August 29th, at Mt. Pisgah UMC; but units are welcome at any district’s training event within our Council.  Your leadership has likely received a call or email from our new District Popcorn Kernel, Cindy Stock.  Cindy is a wonderful and spirited volunteer, who helped Pack 1836 reach their financial goals many years in a row with popcorn sales!  She is a wealth of knowledge and inspiration for this form of fundraising.  For questions regarding this year’s sale, please email Cindy at stock925@verizon.net.  Director of Development, Joshua Hendrix, can also answer your questions about the sale: 804-204-2617 (but he is nowhere near as nice as Cindy!  smiley)

Join Scouting Night

During the summer, the Council and District Committee are working hard behind the scenes to make arrangements for recruiting more youth into your Packs, Troops and Crews.  If your unit has already a scheduled a date or multiple dates, please share that with your SDE as soon as possible.  This year there may need to be a greater emphasis on advertising by signs and banners alongside the roads and in the byways, and from our leader’s homes.  Some of these signs and banners may need to be home made. 

For most schools, we will likely have a rally-type presentation near the end of the school day, which takes less time away from the volunteer’s work day, and allows us to reach rock-concert levels of excitement for the boys!  Of course, to insure everyone is on the same page, we will need to gather for a short training on Tuesday, August 20th, from 7:00pm to 8:00pm.  At this time, we plan to have it a Mt. Pisgah UMC.   It will be vital to have as many volunteers who are going to be involved in the recruitment process attend the meeting.  We will keep you posted!

100th anniversary items are arriving in the Scout Shop.   New t-shirts are in!

Pack and Troop leaders must tell new Scouts which items and uniform parts to purchase.  With almost 500 units in our council, the Scout Shop does not know what individual units require or provide.

Per National BSA policy: When purchasing rank and or merit badges, advancement reports must be turned in at time of purchase, including Bobcat and Scout.  To purchase replacement patches, you must have the rank card, merit badge or blue card or copy of the Scout's record. 

All returns must be made within 30 days, with receipt, and items in original condition. 

Special event and dated patches have a limited return period.  Please check with the Scout Shop for details.
